The purpose of The South Australia Media Gallery is to provide a secure online resource housing an extensive range of South Australian visual assets which are made available to media, tourism trade and industry as well as the South Australian Government to use free of charge to positively promote South Australian destinations, tourism operators and experiences.

2/ How do I register?

To register, click on the ‘Register’ link at the top of the homepage.

You will be required to supply personal information as well as your company details and confirm that you agree to use Media Gallery Material only for a tourism related project. You will receive an automated email to verify your email address.

Your application will be assessed and you will be notified via email once it has been processed.

3/ Why haven't I received an automated email to verify my email address in the registration process?

Automated emails can sometimes be redirected to your junk folder or be withheld by security screening software. Please check these locations first, if you are still unable to find the confirmation email please contact the support team at Lookatme Helpdesk

4/ How do I login?

To Login, click on the ‘Login’ link at the top of the homepage.

If you have forgotten your password, please use the ‘Forgot Password’ link below the login form.

5/ How do I reset my password?

Click the 'Log In' link at the top of the South Australia Media Gallery Homepage > Under the heading 'Forgot Password - Log In With One-Time Password', click on the 'Log In With OTP' button > Enter the email address you used to register for the South Australia Media Gallery and the OTP to Log In will be sent to your email address > Enter the OTP from the email into the field on your screen to complete the log in process.

Once logged in, click on the profile icon located at the top right of the Homepage > Select 'Profile' from the dropdown menu > Select 'Forgot Password' > Enter the email address you used to register for the South Australia Media Gallery and the OTP to Reset Password will be sent to your email address > Enter the OTP from the email into the field on your screen > Enter and Confirm your new password.

6/ Can I share my username and password with other members in my team or workplace?

No. Individual users within companies are required to register their own account for accessing the South Australia Media Gallery. This is to ensure we can contact the correct person regarding orders and/ or changes to the usage requirements for an asset, and to ensure the user of Media Gallery Material understands the Terms and Conditions of use.

7/ How can I view an item’s Asset ID number?

From the collections page, click on the ‘Hide Buttons’ button (‘eye’ icon) located at the top right of the page to hide/ display buttons and labels. This will display the Title, Region and Asset ID numbers overlaid on the asset thumbnails.

These labels will also display when the ‘Hide Buttons’ option is activated, by hovering over an asset thumbnail. The Asset ID number can also be found at the top of the details pane (right-hand panel) when previewing an asset.

8/ How do I search and select images?

You can enter words and search terms using the search bar at the top of the collections page or refine the search results using the filter options on the left of the collections page.

To add an item to your basket, click on the ‘basket’ icon located at the top right of the asset thumbnail. This will add the asset to your basket and the basket icon will display red. You can remove the asset from your basket by clicking the basket icon on the thumbnail to deselect the asset. To view the assets in your basket, click on the ‘basket’ button located at the top right of the header banner.

To select multiple assets, click the plus ( + ) icon located at the top right of the asset thumbnail of each required asset, click on the plus ( + ) button at the top right of the collections page and select the appropriate action, including add to basket or add to Teambox.

9/ I only want to search for images/video, what is the best way to do this?

From the collections page, click the ‘Filters’ icon located on the top left of the collections page. Various filter options can be applied to refine your search.

For images, select Asset Type > select the image icon > and you can refine the search further by selecting the required orientation.

For videos, select Asset Type > select the video icon > and you can refine the search further by selecting the required orientation. You can also filter videos by Polished Edit, Stock Footage, Raw Footage, and aspect ratios horizontal (16:9), vertical (9:16 & 4:5), and square (1:1).

10/ What is the difference between Polished Edit, Stock Footage, Raw Footage and Vertical Edits?

Polished Edit – These videos are completed production edits and may include music, voiceovers, sound effects or various other visual effects. These videos are made available in their finished format to be used for promotional edits. The footage can also be cut and edited where no restrictions apply. The Polished Edit filter also has sub-filters to search by video format ie, 16:9, 9:16, 1:1, 4:5.

Stock Footage – Also known as b-roll or secondary footage, usually features one location or region, or a sequence of clips pulled together to form a longer piece. These clips have had post-production and colour grading and are designed to be cut and edited to suit various project purposes. The Stock Footage filter also has sub-filters to search by video format ie, 16:9 or 9:16.

Raw Footage – These clips are specifically available to be cut and edited for professional video edits. These clips have not been colour graded or had any post-production work and therefore require professional editing.

Vertical Edit – Videos that have been made specifically for social media, Instagram and Facebook. The Vertical Edit filter also has sub-filters to search by video format ie, 9:16, 4:5 and 1:1.

With all videos, please pay particular attention to the ‘Notes’ field which will appear under the asset details when previewing a video if the asset has any notable restrictions. Some videos have restrictions on the way they can be used eg. cannot be cut or edited, must be played in its entirety or music usage rights etc.

11/ How do I download/order?

Media Gallery Material can only be downloaded once you have submitted an order and it has been approved.

Once you have located the asset/s you want to order, select the item/s by clicking on the basket icon located at the top right of the asset thumbnail. Multiple assets can be added to your cart. When you are ready proceed to order, click on the ‘Basket’ icon located at the top right of the collections page and follow the prompts.

To complete the order process, you will be asked to provide a response to questions about your proposed use of Media Gallery Material. Provide as much detail as possible to enable your order to be assessed quickly.

Once your order has been submitted it will be assessed based on the information you have supplied. You will be notified by email once your order has been processed. A download link will be provided by email for approved orders.

12/ How can I select the highest resolution files?

We understand that different projects require different file formats. Within the Order page you can select the file format that best suits your needs from a dropdown list of available formats. The ‘Master’ file is the largest file size available followed by Large, Med and Small.

13/ I have downloaded the items in my order. Why can’t I keep them on file to use in any future projects?

All users are required to submit separate orders for each project and cannot store or keep assets on file for future use. This is to ensure that assets do not continue to be used and featured in unapproved projects beyond license expiry or other reasons for assets being archived. Any use of Media Gallery Material without an approved order is in breach of the terms and conditions.

The SATC has strict licensing agreements with suppliers/ photographers which requires Media Gallery Material to only be used for the positive promotion of South Australia and its tourism regions. Each order is evaluated based on the project details and approval is authorised for this immediate use only. If you intended to use the asset again a new order must be submitted to receive approval for that proposed use.

14/ Can I view my order History?

Yes. If your order has been approved and you haven’t received an email confirmation, you can still access the approved order from the Collections page by clicking on the profile icon located at the top right of the header banner and select ‘Orders’ from the dropdown menu.

15/ What is a Teambox and how can I create one?

A Teambox is a selection of curated assets that you can add to a folder location, and then order or share with other South Australia Media Gallery users or other interested parties. Teambox assets cannot be downloaded without an order being submitted and approved.

To create a Teambox, click on the Teambox icon located at the top of the header banner > click the plus ( + ) icon > enter the name and description (optional) for the Teambox > click the ‘Create Teambox’ button to save.

To add items to your Teambox, from the collections page select items to add to your Teambox by clicking the plus ( + ) icon located at the top right of the asset thumbnail > click the plus ( + ) button located at the top right of the collections page > select ‘Add to Teambox’ > select an existing Teambox to add the items to, or create a new Teambox by clicking the plus ( + ) icon located at the top left of the Teamboxes page, then add the items to the newly created Teambox. Close the Teamboxes window by clicking the x symbol in the top right corner.

16/ How do I know if an asset requires manual approval?

Assets that require manual assessment are indicated with a ‘Yes’ in the Approval Required field. This field can be viewed in the asset details when previewing an asset and is displayed in the orders page. When you order an item with that requires approval, your order will be held for manual assessment by the SATC Brand team.

17/ How do I know if an item has a restrictions on how it can be used?

It is important to read any associated comments that are recorded in the ‘Notes’ field for an asset. The ‘Notes’ field will appear in the asset details when previewing an asset if there are any notable restrictions. Assets that have restrictions for use may also require manual approval by the SATC Brand Team, indicated with a ‘Yes’ in the Approval Required field.

18/ How do I caption and credit images appropriately?

Captions provide a description of the location. Each asset has an appropriate caption listed as the ‘Title’ and ‘Region’ fields. A credit is an acknowledgement of the owner of the asset. Each asset has this listed as the ‘Mandatory Credit’ field.

For example, the caption and credit for the following assets would be:

19/ I have received an email that I can no longer use an image I had ordered. Why would I have received this and what do I need to do?

You would have received this notification due to the asset in question being removed from the live gallery and archived. Generally this is due to a licence expiry but can also include other reasons such as the operator has closed or is no longer operational.

When you receive this email you are required to remove the asset from where it is currently being used (if you are able to do so) eg. website or a social media post. If the image has been used in print, it cannot be used for any reprints of the project beyond the notification to cease use.
